Listen to and delete voice messages, switch greetings and upload your own announcements.

What it is for

On the Voicemails page you manage your Cisco Unity Connection mailbox in the browser. You listen to messages without calling the mailbox from the phone.

You also switch greetings on and off and upload your own announcement as an audio file. The portal converts the file to the mailbox format and stores it there.

Depending on what is released, you also define whether messages are accepted or relayed and maintain alternate extensions for your mailbox.

Prerequisites

  • The enduser portal is switched on for your CUCM connection (Enable Enduser Local Site) and you can sign in.
  • The administrators have released the Voicemail menu. Otherwise the Voicemails menu item is missing.
  • A personal mailbox in Unity Connection is assigned to your user.
  • Message list: Voicemail Mailbox Panel is released.
  • Action area: Voicemail Action Panel is released.
  • Alternate Extension area: Voicemail Alternate Extension Panel is released.
  • Text view of greetings: Greeting speech to text is released and a transcription service is set up.

Step by step: listen to and delete messages

  1. Click Voicemails in the menu.
  2. In the Voicemail Mailbox area, select the Inbox tab. New messages are marked.
  3. Click the play button of a message (Play voicemail). The recording is played in the browser.
  4. The info icon (Message details) shows arrival time, duration and further details.
  5. To delete, click the bin icon (Delete voicemail). In the prompt, select Yes, delete it!, which moves the message to the Deleted tab, or Yes, Hard Delete it.
  6. In the Deleted tab you remove single messages permanently, or all at once with Delete All.

Step by step: switch a greeting and upload an announcement

  1. Open Voicemails and go to the Greetings area.
  2. Each card stands for one greeting: Standard, Busy or Alternate. Active or Inactive is shown at the top right.
  3. Click Activate or Deactivate to switch a greeting.
  4. Under After the greeting, select what happens next: Take Message or Hang up.
  5. For your own announcement, click Upload Greeting on Standard, select an audio file and click Upload.
  6. If released: select the Recording language at the top and click Show greeting as text to read the announcement as text.

Check the result and troubleshoot

  • Success with greetings: the card shows Active or Inactive as selected. Call your number and let it ring through to voicemail to hear the announcement.
  • “No new messages” with the note “Your voicemails will appear here, ready to listen to.”: the inbox is empty.
  • “No personal Unity voicemail mailbox is assigned to your user. Contact your administrator.”: you have no mailbox.
  • “Choose a valid greeting audio file up to 20 MB.”: the file is missing, empty or larger than 20 MB.
  • “This file could not be converted into a greeting recording.”: the file is not a readable audio file. Use WAV or MP3, for example.
  • “This greeting could not be transcribed. Please try again.”: the transcription service did not answer or the language does not match. Automatically generated text can contain errors.
  • The message list or the Action area is missing: the administrators have not released the respective voicemail panel.
  • You do not change the voicemail PIN in the portal. Contact the administrators for that.
